Summary of Your Needs & Logistics:
School Contact: Melissa Giles, Community School Coordinator
Number of Participants: approx. 20 students
Age(s)/Grade Level(s): Grade 8's
Date(s): March 18-22nd 2024 (plus others – Fridays)
Invitation & Context:
Along with the local families involved in Homeschooling, Melissa Giles from Cultus Lake Community School has invited Pinnacle Pursuits to propose a series of programs during the upcoming Spring Break, as well as possibly additional half day programs on Fridays.
There are about 20 students in the program, aged 10-15 years. For Spring Break specifically, we’d be looking at 10 students minimum, for half day afternoon programs (ie. 1-5pm) and the group is open to including an overnight adventure camp.
Outdoor Experiences/Activity Options:
Our team at Pinnacle Pursuits offers over 20 different activities and program topics for this age group. We are regularly asked to design/deliver custom programs and are always open to working together with our clients to design these. Please see the hotsheets below or ask questions.
Staff Safety and Supervision Ratios:
Pinnacle Pursuits custom small group programs for schools and community-based educational youth organizations are budgeted (based on industry safety ratios) for groups of up to 14 for ground-based programs. We include 2 staff (2:14) and require 1 adult chaperone/staff from the school or organization to help with group management (preferably one who knows the students and can help integrate any learning back into the curriculum). When it comes to water-based or ropes-based programs, ratios may be higher (ie. 2:12). For overnight trips, 2 adult chaperones are required (male and female). For students with special needs or who require extra attention, additional adult assistance may be required.
Family/Student Prep:
As part of our preparations, all families will be sent out a welcome letter that includes expectations, packing/gear list as well as a consent and medical form to be completed.
Investment/Costs:
Typically, Pinnacle Pursuits fee for staff is $675/day for a minimum of 2 staff (plus any costs) or $400/ half day or $800 per day for overnights). This includes any upfront discussions as required, planning and paperwork, onsite staff team, staff travel, activity supplies and equipment as necessary, and $5 million comprehensive liability insurance. This fee does not include additional program costs/expenses (canoe rentals, transportation, meals, park permits, overnight accommodation, etc).
Based on the needs of this program specifically, here is a summary of costs: (we are offering a 10% discount to help launch this program).

Loon Lake Site Rentals, Meals & Overnight Costs: Currently we have some availability 18-22nd in the week of March at our Outdoor Adventure Centre in UBC’s Loon Lake Lodge & Retreat Centre for a one day or overnight trip. Site costs for one day trips are $38pp (includes lunch), and overnight trips $125-140 pp (includes group living space, accommodation, all onsite programming equipment (ropes courses, archery gear, etc) and 4-5 healthy wholesome meals).
So, to summarize for your group, Pinnacle program costs, with 3 half days, plus 2 more half days (5 half days at $3,600), plus an overnight trip (at $1,440), you’d be looking at $5,040 + $125-140pp for Loon Lake costs. So for 10-14 students, the cost range will be $500 - $630pp for the week.
Note: Overnight trip program costs can be off-set by including more people. TBD.
We look forward to your questions, and ultimately creating an amazing experience with and for all your students!
